Privacy
How we handle the data of people who visit the site, sign up for activities or write to us.
This notice explains how Associazione Naqah ETS processes the personal data of people who visit this website, sign up for our activities or write to us, in line with the EU General Data Protection Regulation 2016/679 (GDPR) and Italian privacy law.
Data controller
Associazione Naqah ETS, via Agrigento 178, 90035 Marineo (PA), Italy, tax code 97374490825. Email: associazionenaqah@gmail.com · certified email (PEC): naqah@pec.it. You can write to these addresses with any question about your data.
What data we process and why
Browsing
The server hosting the website automatically records some technical data (IP address, pages visited, date and time, browser type) to run the site and protect it from abuse. We do not use it to identify you. Legal basis: our legitimate interest in keeping the site secure. The hosting provider keeps it only as long as strictly necessary.
Signing up for activities
When you sign up for an activity using the website form, we collect your first and last name, date of birth, town, email, phone number, any notes (for example accessibility or dietary needs) and, for under-18s, the name and phone number of a parent together with their permission. We use them to organise the activity, manage places and the waiting list, contact you about the activity, prepare the attendance sheet and, when the activity is part of a funded project, to report to the funder. Legal basis: your request to take part and, for reporting, legal and project obligations.
We need your date of birth to check the activity's age limits. Notes about health or accessibility are optional: only write what we need to welcome you properly.
Photos and videos. During activities we may take photos and videos to share them on our channels. We publish them only if you (or a parent) gave consent in the form. You can withdraw your consent at any time by writing to us: we will remove the images in which you can be recognised from our channels.
Programme and partnership requests
The "Request an Erasmus+ programme" and "Let's build a project together" forms collect the organisation's name, country, the contact person's name, email, phone (optional) and information about the project. We use them only to reply and, if we decide to work together, to build the collaboration. Legal basis: your request.
Email, phone, WhatsApp and other forms
If you write to us by email, phone or WhatsApp, or send us an application (volunteering, Work with us, proposals for Casa Naqah), we use your data only to reply and to assess your proposal. The volunteer application goes through an external form (Tally), which has its own privacy notice. CVs and portfolios are not shared with anyone else.
Donations
Online donations go through UniCredit's IlMioDono platform, which processes payment data as an independent controller: we never see your card details. For bank transfers, we receive the transfer details from the bank and keep them for accounting obligations and for your receipt, if you ask for one.
How long we keep data
- Activity sign-ups: automatically deleted 12 months after the activity date, except for what is needed to report on funded projects, which is kept for as long as the funder requires.
- Programme and partnership requests: automatically deleted after 24 months.
- Emails and messages: as long as needed to reply and manage the collaboration.
- Accounting data on donations: for the period required by law (usually 10 years).
Who can see the data
Only the people in the association who organise the activities or follow up on requests. Data is stored on the servers of Aruba S.p.A. (Italy), which hosts the website; notifications reach the association's email inbox (Google). These providers process data on our behalf. If an activity is part of a funded project, some data may be shared with the funder (for example the Erasmus+ National Agency) for reporting. Some providers may transfer data outside the European Union with the safeguards required by the GDPR. We never sell or pass on your data to anyone.
External services on the pages
The website uses no analytics, profiling or advertising. Videos (YouTube, Vimeo) and the map (Google Maps) load only if you activate them or accept external content in the banner: see the cookie policy for details. Social media and WhatsApp buttons are plain links.
Your rights
At any time you can ask us to access, correct or delete your data, restrict its use, object to its processing or receive a copy (articles 15–22 GDPR), and withdraw any consent you gave, by writing to associazionenaqah@gmail.com. We will reply within one month. If you believe your data is being processed unlawfully, you can lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).
